Personal Assistant to GM
Duties and Responsibilities to support General Manager:
- Coordinate and arrange all activities relating to the General Manager.
- Provide full secretarial assistance – preparation of general correspondence, handling telephone calls and organizing appointments.
- Provide secretarial support to other Executive Committee members as required.
- Liaise with Executive Committee members, Department Heads and staffs for necessarily follow up on queries, requests and special functions assigned by the General Manager.
- Liaise with Executive Committee members and Department Heads to ensure reporting deadlines to Regional Office and Owner Representatives.
- Attend and transcribe minutes of weekly Executive Committee and Department Head meeting for distribution to Executive Committee members and Department Heads.
- Coordinate and compile General Manager’s Monthly Report for Regional Office and Owner Representative.
- Coordinate travel arrangements and reimbursement for General Manager
- Assist General Manager in preparing the yearly budget documents.
- Coordinate welcome letters or notes for all VIPs and high returning guests, and ensure appropriate welcome amenities are in place.
- Coordinate VIP accommodation and restaurant reservations.
- Maintain an efficient filing and trace system.
- Liaise for office equipment and maintenance requirements, including control and cost containment of Executive Office stationery supplies.
- Attend and act as a committee for other hotel important meeting, such as Health & Safety Meeting, Sustainability Meeting, Welfare Meeting, etc.
- Align working practices and conduct with The Standard Brand, Vision, Mission, Purpose and Values.
- Consistently strive to meet and exceed the expectations of both internal and external guests by anticipating guest’s and staff’s needs through observation and offer prompt and efficient service.
- Welcome and acknowledge each and every guest with a smile, eye contact and a friendly verbal greeting, using the guest’s name when possible.
- Coordinate, prepare and maintain tracking of complementary voucher to other The Standard properties.
- Undertake additional duties as assigned by the General Manager.
- Maintain a strong passion for Art, Fashion, Film, etc. and use knowledge and local contacts of Music, Art, Fashion, Film, etc. to support Director of Programming & Culture.
- Assist Director of Programming & Culture to develop and maintain strong rapport with all departments and outlets of the hotel.
- Understand and assist Director of Programming & Culture to maintain the identity of The Standard Brand in programming efforts.
- Assist Director of Programming & Culture to program activities for hotel guests and the local community.
- Assist Director of Programming & Culture to prepare press and content for social media platforms and The Standard website.
- Collaborate with all departments to ensure successful execution of events, parties, programming, etc.
- Oversee important events during the execution, to ensure pleasant guest experience and satisfaction.
- Assist Director of Programming & Culture to prepare event details and coordinate with relevant departments, ensuring necessary cooperation.
- Assist Director of Programming & Culture for annual budget preparation.
- Assist Director of Programming & Culture to collaborate with Marketing Department and provide all required information for promoting of events.
- Assist Director of Programming & Culture to establish and utilize connections within creative communities to develop partnerships for brand awareness and to drive business.
- Best representation of the brand culture at all times.
- Facilitating and monitoring payments with the Finance and Accounting Department.
