Spa Coordinator
The Spa Coordinator is responsible for creating a warm, welcoming, and personalized guest experience from arrival to departure. This role serves as a key point of contact for spa guests, helping them navigate services, understand offerings, and select customized experiences based on their needs and preferences. The Spa Coordinator provides exceptional service in person, by phone, and by email, while supporting daily spa operations through scheduling, communication, transaction processing, and overall guest care.
This position requires strong communication skills, a guest-first mindset, attention to detail, and the ability to remain calm and solution-oriented in a fast-paced environment.
Welcome all guests to the spa in a warm, professional, and engaging manner.
Consult with guests regarding their plans, preferences, and wellness goals to recommend customized spa experiences and services.
Provide excellent service throughout the guest journey and proactively resolve challenges to ensure a positive and memorable experience.
Listen carefully to guest needs and ask thoughtful, probing questions to suggest appropriate treatments, products, and spa offerings.
Maintain clear and professional communication with guests and internal team members in person, by phone, and by email.
Accurately schedule spa appointments, process transactions, and manage guest information using spa software and company systems.
Provide guests with accurate property information and promote awareness of spa amenities, services, and resort offerings.
Consistently meet and exceed established service standards and guest experience expectations.
Monitor spa areas for potential safety hazards, correct issues where possible, and report concerns to management for follow-up and long-term resolution.
Assist in maintaining an organized, clean, and guest-ready spa environment.
Notify management of any supply shortages, maintenance concerns, or operational issues.
Turn over any lost and found items to Guest Relations with all available details.
Protect the confidentiality of guest information and resort data at all times.
Support teamwork across departments and work collaboratively with co-workers to ensure smooth daily operations.
Remain flexible and responsive to guest needs and management requests throughout the shift.
Continuously seek opportunities to learn more about spa services, wellness offerings, and retail products to better serve guests.
High school diploma or equivalent required.
Ability to communicate clearly and professionally in English, both verbally and in writing.
Fluency in a second language preferred.
Previous experience in a high-volume, guest-facing position required.
Consultative selling experience preferred.
Strong communication and interpersonal skills.
Ability to prioritize daily responsibilities while responding to guest and operational needs.
Strong problem-solving skills with the ability to remain calm under pressure and follow established protocols.
Ability to work both independently and collaboratively as part of a team.
Strong attention to detail and organizational skills.
Comfortable using scheduling systems, point-of-sale systems, and other operational software.
