New York - East Village, NYC Sales Coordinator

      We’re looking for a detail oriented, enthusiastic and outgoing
      Sales Coordinator! Under the guidance of the Director of Sales, this position
      will provide administrative support to maximize sales revenue across multiple
      market segments including corporate, groups, consortia and retail. Maintain
      department’s tracking systems, databases and reports. Represent the sales
      department both internally and externally in a professional manner in
      accordance with company standards.


      Duties and

      • Consistently update the DOS (Director of Sales)
        by sending individual reservation quotes & inputting detailed information
        on guest and company into Opera
      • Maintain strong partnerships by efficiently
        corresponding with all SEV clientele in absence of DOS
      • Respond to emails and phone calls in a timely
      • Support any travel agent request and follow up
      • Group Quotes – Send quotes (rates &
        availability) out to potential clients per their request, follow up on feedback
        until confirmation
      • Groups Coordination – Servicing, creating
        contracts & agreements, inputting rooming lists, taking deposits, billing
        setup/issues. Act as the on-site contact from start to finish/arrival through
        departure of the group.
      • Corporate negotiated RFP submission:
        Tracking/Management of RFP Tool / RFP submission once rate have been approved
      • Edit all local corporate agreements / FUP and
        tracking until signature
      • Coordinate rate loading of corporate and
        consortia with Revenue Team
      • Coordinate, track, and book all barter
        reservations/agreements - both internal and external
      • Manage all assigned local sales accounts 
      • Welcome VIP Clients upon arrival in absence of
      • Support DOS on all administrative tasks related
        to the Sales department including sharing any relevant communication with other
      • Sales reservation requests, traces and
      • Office administration (accounting, office
        supplies, meeting room requests, show room requests, sales/marketing gift
      • Maintain Opera/Delphi/Cendyn databases 
      • Host site inspections as required
      • Sales VIP program (research and identify as
      • Group proposals, contracts, rooming lists and at
        times client management
      • Sales event planning and support.

      Job Requirements:

      • Hotel experience preferred.
      • Knowledge of Opera, Delphi, Cendyn preferred.
      • Ability to enter and locate work related
        information using computers and/or point of sale systems.
      • Possess a gracious, friendly, and fun demeanor.
      • Ability to multitask, work in a fast paced
        environment and have a high level attention to detail.
      • Strong verbal and written communication skills
        in English.
      • Ability to work independently and to partner
        with others to promote an environment of teamwork.
      • Fanatic attention to detail and ability to
        adhere to high maintenance clientele working in various industries such as
        entertainment, fashion & production
