Your role

As the Executive Assistant & European Projects Coordinator you will serve as the primary admin support for the Hotel Manager, VP of Operations for Europe and Regional European team based in London.

You’ll provide full administrative support and will undertake a range of responsibilities from diary and event management, liaising with guests, clients, suppliers and members of senior management. You will also be coordinate a number of internal and external meetings, conference calls and taking minutes, as well as organising travel arrangements and appointments for the team.

We are of course in the business of hospitality and in addition to office support you may be required to meet and greet VIP guests on behalf of the Hotel Manager, and conduct property show rounds for potential new owners. You will also manage and respond to emails on their behalf, prepare letters and correspondence on behalf of both directors; so discretion, integrity and superior communication skills are essential for this role.

You will also be a key contact for the hotel and European office, which will involve liaising with owners of our various European hotel projects, our corporate office in New York and regional business development team. With several European hotel projects now in development (including Brussels, Lisbon & Dublin) you will ensure that each project critical path is kept up to date, milestones are achieved and projects remain on track in order to share European updates with the regional and corporate teams. You will also support the VP of operations with the creation and compiling data for new Pro-forma, POBs (pre-opening budgets) and create project presentation decks.

Within this role you will also be required to produce a range of monthly management reports for the management team, ownership and corporate teams.

A minimum of 3+ years’ experience as an Executive Assistant or Project Coordinator gained within a similar Lifestyle Hotel or Corporate Hotel environment is essential for this role.

In addition to this you will also need….

  • Have a background in Hospitality, ideally combined with some pre-opening experience and up to date knowledge of the latest industry trends
  • To be detail-Oriented with Strong administrative and technical skills, ensuring nothing slips through the cracks. Candidates should have intermediate to advanced Microsoft office skills, experience with Opera and other hotel system is advantageous.
  • Experience at handling confidential and sensitive information.
  • A Proactive Problem-Solver: Always a step ahead, anticipating needs and finding solutions before being asked.
  • An Excellent Communicator: Clear, thorough, and engaging in all communications, making complex information easy to understand.
  • Have exceptional organisational and project management skills with the ability to manage several projects simultaneously with the ability to manage time your own time and prioritise tasks.
  • Be highly social, motivated, and pro-active; you’ll need to be the life and soul of the party!! with an approachable, professional attitude with the ability to develop close working relationships with multiple stakeholders.
  • You will need to be fluent in English, both spoken and written, fluency in other European languages will be advantageous.
  • A flexible approach to working hours; this role is office hours however offers the ability to work flexibly. There may be the occasional requirement to work evenings, and weekends [Including occasional weekend Manager on Duty shifts].
